Everything included

One price. The whole platform.

Every capability below is included at every size, no editions, no module activation fees, no upsell.

Employee records

Demographics, contacts, and employment details. Encrypted SSN and date of birth. Photo uploads. Bulk Excel import with a downloadable template. Full export. Employee search. Previous-name history. Family members and payment sources.

17 clinical modules

Examinations · Immunizations · Incidents · Exposures · Treatments · Health conditions · Leaves · Vitals · Credentials · Work restrictions · Record requests · Attachments · Medical surveillance · Hearing conservation · Return to work · Clinical notes · Workers' compensation, plus lost time, root cause analyses and cost tracking on any record.

OSHA compliance

OSHA 300 Log, 300A Annual Summary, and 301 Incident Report. Privacy-case tracking. Actual hours-worked override for accurate incidence rates. PDF and Excel export on all three.

Report library

Around 50 reports across absence, call-in, conditions, demographics, examinations, immunizations, incidents, roster, and schedule categories. Immunization compliance and TB screening reporting. Every report exports to PDF, Excel, and CSV.

Scheduling

Calendar-based appointment scheduling. Automatic and manual email reminders. Completion, cancellation, and no-show tracking. Schedule reporting and export.

Documents and e-signature

Upload, assign to employees, and track views, signatures, and uploads. Employee e-signature. Secure signed-link acknowledgement for employees without a portal account. Assignment notification emails.

Employee self-service portal

Employees sign in to view their own health records, sign assigned documents, upload vaccine cards and certifications, update their contact and emergency-contact details, view their appointments, and download their complete health record as a PDF. Branded portal with its own help center.

Multi-facility

Unlimited facilities on one account, each fully isolated. Central administration across all of them. Per-facility settings, code lists, roles, and reporting.

Access control

Five roles (Super Administrator, Administrator, Manager, User, Employee) with granular per-action permissions, scoped per facility.

Security and audit

PII encrypted at rest. Encrypted-field search without decryption. Password policy with history enforcement and forced rotation. Rate limiting on all authentication endpoints. Audit logging on record changes. US hosting.

Dashboards

Immunization compliance and incident-trend charts. Expiring-credentials and attention-required widgets. Live counts across all modules.

Data migration and onboarding

Included at every size. Employees, incidents, immunizations, exams, credentials, and documents from spreadsheets, CSV exports, or direct exports from a prior system, including RESPOND! and BD Protect.

Jurisdiction compliance

Included, and switched on for the organizations that carry the obligation. Any employer: the serious injury report and its countdown (24 hours federally, 8 in California), the sharps injury log, the redacted Form 301, and the OSHA ITA submission file with a pre-flight check. California: the §3342 violent incident log on its 24 and 72-hour clocks, §5199 declination statements and exposure clocks, and Cal/OSHA versions of the 300, 300A and 301. Washington: the RCW 49.19 investigation and safety-committee summary. Off by default because a Texas clinic has no use for a California log. Ask and we turn it on.

All of it, at every price point. There is no edition of carefoundryESC with fewer modules.

Pricing questions, answered

Frequently asked

No. Unlimited administrators and unlimited employee-portal accounts at every size.
Employees with an active record. Terminated and archived records stay in the system for your compliance history and don’t count toward your plan.
Nothing changes mid-term. Your plan is set when you sign and reviewed once, at renewal. Growth through the year is absorbed by your current plan.
There is no per-employee overage charge, ever, and you are never moved mid-term. At renewal we look at your active headcount: if you have crossed your cap by less than 10%, you stay on your current plan. Past that, you move up one plan.
No. Migration from your existing system or spreadsheets, configuration, and onboarding are included.
One published price for every buyer. You don’t need a procurement cycle to find out what it costs.
Yes, at +20%. Annual upfront is the better value.
Your price is locked for the contract term. At renewal, a maximum 5% uplift, plus any change from moving up a plan.
Included at every price point, unlimited facilities, each isolated, all centrally administered. No per-location fee.
All of them, on every plan. There is no reduced edition, the only thing that changes between plans is the employee cap.
Built for HIPAA-sensitive data. Employee identifiers, dates of birth, and contact details are encrypted at rest and searched through blind indexes rather than decryption. Your organization's data is isolated from every other. Reads and writes of a health record are logged with the user, the time, and the address they came from.
Extensively, and without us: code lists, roles and permissions, report parameters, per-facility settings, OSHA settings, and document workflows are all yours to configure. Every customer runs the same platform, which is how the release cadence and the price stay where they are.
Your data is yours. Full export in standard formats, on request, at any time.
